Shimizu Pottery Kenkyujo (“we” or “us”) complies with the Act on the Protection of Personal Information and other relevant laws and regulations (the “Laws”) regarding the handling of personal information of customers who use the services we provide (the “Service”), and hereby establishes this Privacy Policy as follows.
1. Definitions
In this Privacy Policy,
“personal information” refers to information as defined in Article 2, Paragraph 1 of the Act on the Protection of Personal Information.
“Personal data” refers to information as defined in Article 2, Paragraph 4 of the same Act.
2. Collection and Use of Personal Information
When collecting personal information, we will clearly state the purpose of use in advance and collect it through lawful and fair means. We will use personal information appropriately,
within the scope necessary to achieve the stated purpose of use.
3. Purposes of Use of Personal Information
We will manage customers’ personal information appropriately. Except where the customer has given explicit consent or where required by law, personal information collected from customers will be used only for the purposes set out below, and for no other purpose.
1. To provide, maintain, protect, and improve the Service, including processing registrations, verifying identity, and calculating fees for the Service
2. To respond to inquiries and provide information regarding the Service
3. To respond to conduct that violates our terms, policies, or other rules regarding the Service (the “Terms, etc.”)
4. To notify customers of changes to the Terms, etc. regarding the Service
5. To send seasonal greetings and other communications from us
6. To provide information about our services and to advertise or promote our services (including by email)
7. To send email newsletters
8. For other purposes individually consented to by the customer
4. Provision of Personal Information to Third Parties
We will not provide collected Personal Data to third parties without the customer's consent, except in the following cases:
1. The customer has given prior consent
2. Information is outsourced externally within the scope necessary to achieve the purpose of use
3. Disclosure is required by law
4. Disclosure is necessary to protect a person's life, body, or property, and obtaining the customer's consent is difficult
5. Disclosure is particularly necessary for improving public health or promoting the sound development of children, and obtaining the customer's consent is difficult
6. Cooperation is necessary for a national or local government body to carry out affairs prescribed by law, and obtaining the customer's consent would impede the performance of such affairs
5. Security Control Measures for Personal Information
We will implement necessary and appropriate security control measures for collected personal information to prevent unauthorized access, leakage, falsification, loss, or damage.
Specific measures include the following:
1. Computers, USB drives, and documents containing personal data are stored in locked locations with password protection to prevent theft or information leakage
2. ID and password authentication is set on computers where personal data is stored
3. The operating systems of computers storing personal data are kept up to date at all times
4. Security software is installed on computers storing personal data
5. Files containing personal data sent by email are password-protected
６. Disclosure of Personal Information
Upon receiving a request from the individual concerned for disclosure of Personal Data
(including records of provision to third parties), we will, after confirming the individual's identity through identification documents or other means, disclose such information without delay, in writing or by electromagnetic record.
However, we may decline to disclose all or part of the information in any of the following
cases:
1. Disclosure risks harming the life, body, property, or other rights and interests of the individual or a third party
2. Disclosure would otherwise violate the law
3. Disclosure obligations are excluded by law
In addition, where disclosure would require substantial cost or is otherwise difficult, and where alternative measures necessary to protect the individual's rights and interests can be taken in place of disclosure, we will implement such alternative measures.
7. Correction of Personal Information
Upon receiving a request from the individual concerned for the correction, addition, deletion, or suspension of use of Personal Data (the "Correction"), we will, after confirming the individual's identity through identification documents or other means, promptly conduct an investigation.
Where the content of the information in question is found to be factually incorrect, or is otherwise found to have been handled inappropriately as described below, we will promptly carry out the Correction and notify the individual accordingly:
1. Information is handled beyond the scope of the purpose of use
2. Information was collected through improper means
3. Information was unlawfully provided to a third party
4. Information was used inappropriately
5. We no longer need to use the Personal Data
6. By law, we are required to report to the Personal Information Protection
Commission due to a leak or similar incident involving Personal Data
7. The individual's rights or legitimate interests are otherwise at risk of being harmed
However, where the Correction would require substantial cost or is otherwise difficult, and where alternative measures necessary to protect the individual's rights and interests can be taken in place of the Correction, we will implement such alternative measures.
8. Joint Use of Personal Information
We may jointly use customers’ personal information as follows:
1. Items of personal information jointly used: Customer’s address, name, postal code, phone number, fax number, email address, etc.
2. Scope of joint users: Where personal information is jointly used, the names of the businesses involved will be disclosed on our website or by other means.
3. Purpose of joint use: Personal information will be jointly used within the scope of the purposes of use set out in Section 3 above.
9. Procedure for Changing This Privacy Policy
We will revise this Policy as necessary.
However, where a change to this Policy requires customer consent under applicable law, the revised Policy will apply only to customers who have consented to the change in the manner we specify.
When revising this Policy, we will announce the effective date and content of the revised Policy through display on our website or other appropriate means, or will notify customers directly.
